In short: A useful quote names the hotel, room, dates, transport and cancellation terms.
Start with the price basis
Write down whether the advertised price is per person or for the whole party. Then confirm the number of people sharing each room, the ages used for child pricing, the currency and the quotation expiry. A price based on four adults sharing is not directly comparable with a private double room.
Ask for the final payable total and a payment schedule. Find out which amounts are refundable, who receives the money and whether currency movements can change the amount before full payment.
Read the accommodation line carefully
Request the exact property name and address in both cities, room category, bed arrangement, meal basis and check-in and check-out dates. Similar hotel names can cause confusion. “Near the Haram” is not a route description, and “or similar” does not identify the hotel you will receive.
If substitutions are allowed, ask who approves them, what standard applies and what remedy you have if the replacement does not meet the agreed requirements. Obtain the answer in writing.
Check the connections
The quote should say whether airport and station transfers are included, whether vehicles are private or shared, and how many bags they accommodate. Confirm whether a visit includes a guide or only transport. Finally, identify who handles flight changes, missed connections and hotel problems.
